Manufacturing Quote: What Should a Complete Quote Include?

A manufacturing quote should help you understand the proposed scope of work, not just the price per part. For custom mechanical components, the quotation needs to reflect the drawing, material, quantity, machining requirements, inspection, finishing, packaging, and delivery.

A clear quote makes it easier to compare suppliers and identify questions before placing an order.

Part Identification and Drawing Revision

The quote should identify the part number, description, and drawing revision used for the review. This is especially important when a project includes several components or when drawings have changed during development.

If the CAD model and drawing show different information, ask the supplier which file was used and resolve the difference before approving the order.

Material and Quantity

Check that the material and grade match your requirements. If the supplier proposes an alternative, it should be clearly stated and approved before production.

The quoted quantity should also be clear for each part number. If you expect repeat orders or staged deliveries, explain this during the RFQ stage because it may affect planning.

Manufacturing Scope

The quotation should make clear which processes are included. Depending on the part, the scope may involve CNC milling, CNC turning, additional machining operations, or assembly.

If some operations are coordinated outside the workshop, ask which steps are included, who manages them, and whether they affect the delivery schedule.

Tolerances and Inspection

A drawing may include many dimensions, but some may be more critical to function or assembly than others. Identify critical dimensions and explain any inspection requirements.

Ask what checks are included in the quote and whether an inspection report, material document, or other quality record is part of the scope. If a document is required, confirm the format and the information it should contain.

Surface Finish and Secondary Operations

A part supplied as machined may differ from a part requiring anodizing, plating, polishing, heat treatment, or another finish. Make sure the requested finish is listed clearly.

For finishes coordinated by the supplier, clarify the applicable specification, color or appearance requirements, inspection method, and any effect on the schedule.

Packaging and Delivery

The quotation should distinguish between the manufacturing scope and delivery costs or terms. Confirm the delivery destination, packaging expectations, shipping method, and any required labels or export documents.

If your organization has a specific delivery term or shipping procedure, state it in the RFQ and ask the supplier to confirm it.

How to Compare Quotes Fairly

When comparing manufacturing quotes, check that each supplier priced the same:

  • Drawing revision and part specifications
  • Material and quantity
  • Surface finish and secondary operations
  • Inspection scope and documents
  • Packaging and delivery requirements
  • Lead-time assumptions

A lower price may reflect a different scope. Ask questions when an item is missing instead of assuming that all quotations include the same services.

A Practical RFQ Checklist

Before asking for a manufacturing quote, prepare:

  1. Current CAD files and dimensioned drawings
  2. Material and finish requirements
  3. Quantity by part number
  4. Critical tolerances and inspection points
  5. Required quality documents
  6. Packaging and delivery instructions
  7. Target delivery date

Frequently Asked Questions

Should I choose the lowest manufacturing quote?
Compare the complete scope, technical understanding, inspection requirements, and delivery terms before deciding.

Can the supplier suggest design changes to reduce cost?
A supplier can provide suggestions for your review. Do not use a revised design for production until the customer has approved it.

What if the material is not decided yet?
Explain the part’s application and required properties. Ask the supplier to identify suitable options for discussion.
